Set up the vacation account

With the vacation account, you can define how many vacation days your employees are entitled to, whether unused vacation should be carried over to the next year, which weekdays should count as vacation days, whether vacation should accrue annually or monthly, and much more.

Activate the vacation account and define the rules

Go to Settings → Absence & Holiday account.

Activate the vacation account and define the rules that should apply to the calculation.

Set vacation entitlement

You can then define the vacation entitlement for your employees. This gives you a clear overview of how many vacation days have already been used and how many are still available.

Depending on your setup, you can adjust the vacation entitlement and rules for individual employees under “Set up Individual employee rules”.

Adjust the vacation account

In your first year using Smartplan, you may need to adjust the balance manually. This is because Smartplan does not know how many vacation days have already been taken or whether there was any unused vacation carried over from the previous year.

In that case, you will see the following message:

Go to the details view on the right-hand side of the relevant employee and add a manual adjustment.

The adjustment will then appear in the detailed overview.

Using the vacation account day to day

When vacation is added or approved, it is automatically reflected in the vacation account. This allows both administrators and employees to see the current status of the vacation balance at any time.
